Kiko AI Order Taker ("Kiko", "we", "our", or "us") is a mobile application designed to help businesses process customer orders from call recordings using artificial intelligence. 1. Information We Collect
a. Personal Information (Business User)
- Name and phone number (used for account creation)
- Business name and type (optional, for personalisation)
- Email address (if provided for support)
b. Call Recording Data
- Audio files of call recordings already stored on your device — accessed only with your explicit permission
- File metadata: file name, timestamp, duration
- AI-generated transcripts of those recordings
c. Extracted Order Data
- Customer name (extracted from transcript)
- Delivery address or location (if mentioned in call)
- Order items and quantities
- Order amount (if mentioned)
- Special instructions
d. Messaging Data
- Order messages sent via WhatsApp (content you confirm and send)
- We do not store or read your WhatsApp chat history
e. Device & Usage Data
- Device type, Android version, app version
- App usage logs and crash reports
- Session data (for performance monitoring)
2. How We Use Information
We use collected data strictly for:
- Order Processing: Converting call recordings into structured orders
- AI Transcription: Extracting customer details from recorded conversations
- Order Management: Allowing sellers to view, edit, cancel, and send orders
- WhatsApp Delivery: Enabling order messages to be sent via WhatsApp
- Service Improvement: Improving transcription accuracy and feature quality
- Support: Responding to user queries and resolving issues
- Billing: Processing subscription payments (if applicable)
3. Permissions & Their Purpose
All permissions are requested at runtime. Users can revoke any permission from Android Settings → Apps → Kiko AI → Permissions at any time.
4. Call Recording — Critical Disclosure
Kiko processes recordings you have already created and stored on your device. We do not initiate, trigger, or manage the recording process. We are not liable for any unauthorized recording conducted by users of this application.
Audio recordings and transcripts are processed via secure, encrypted channels and are not stored longer than necessary to generate the order.
5. Data Sharing & Third Parties
We do not sell, rent, or trade your personal data. Limited data may be shared with:
- AI Transcription Services: Audio files sent to secure cloud AI partners for speech-to-text. Partners are bound by confidentiality and data protection obligations.
- Cloud Infrastructure Providers: For secure data storage and app infrastructure. All data is encrypted at rest and in transit.
- WhatsApp / Messaging APIs: Order content is passed to messaging platforms at your direction when you choose to send an order.
- Payment Processors: If you subscribe to a paid plan, payment is handled by a certified gateway. We do not store card details.
- Legal Authorities: If required by applicable law, court order, or government request.
6. Data Storage & Security
- End-to-end encryption for data in transit (TLS/HTTPS)
- Encryption at rest for stored data
- Access control and authentication for internal systems
- Regular security audits
While we take every reasonable precaution, no system is 100% secure. Report any suspected security issues to help@kiko.live immediately.
7. Data Retention
- Call audio files: Processed in real-time; not retained on our servers beyond what is necessary for transcription.
- Transcripts: Stored securely as long as your account is active.
- Order data: Retained per your selected plan (7 days, 90 days, or 1 year). Older data is auto-deleted.
- Account data: Retained while active. Deleted within 7 working days upon deletion request.
- Legal hold: Some data may be retained longer if required for legal compliance or dispute resolution.
8. User Rights
As a user of Kiko, you have the right to:
- Access: Request a copy of data we hold about you
- Correction: Request correction of inaccurate personal data
- Deletion: Request deletion of your account — see our Account Deletion page
- Restriction: Revoke permissions via Android device settings at any time
- Portability: Request an export of your order data (available on Business plan)

9. Children's Privacy
Kiko AI Order Taker is designed for business use only and is not intended for individuals under the age of 18. We do not knowingly collect personal data from minors. Contact help@kiko.live immediately if you believe a minor has used our service.

We may update this Privacy Policy from time to time. When we make material changes, we'll notify users via in-app notification or email. Continued use after the update constitutes acceptance of the revised policy.
